Domain renewal needs a process, not a good memory

Organise domain expiry dates, notices and payments. Avoid depending on one card or a colleague who happens to be away.

A perfectly working website can become unavailable when its domain expires. The same name may support email, sign-in and business documents. Treat renewal as a continuity task. An automated email, a saved payment card or a contractor’s old promise does not by itself form a complete process.

Keep a central record

Record each domain, registrar, holder, expiry date and responsible person. Include secondary names that redirect to the website. Mark essential domains and those held to protect the brand. Reviewing the list can reveal unnecessary costs, but do not abandon a domain before checking dependent email addresses and links.

Check the extension’s rules

For .ro, check RoTLD and the provider through which you manage the name. Other extensions have different rules, periods and potential recovery charges. Do not build your plan around guaranteed recovery after expiry. A grace period, where one exists, should not become the normal payment deadline.

Check notices and payment

Confirm that the contact address is active and monitored by more than one authorised person. If using automatic renewal, verify its status, payment method and resulting invoices. An expired card or rejected payment can interrupt automation. Keep internal reminders that leave enough time to resolve a problem rather than alerting you only on the last day.

Watch for false renewal notices

Domain expiry is a common pretext for alarming messages. Open the known account to check the date and amount before paying. An offer to appear in a directory is not necessarily a renewal invoice. Verify the payment recipient and never provide passwords or transfer codes in response to an unexpected message.

Confirm completion

After payment, check that the registration period has been updated and retain confirmation. Paying an invoice does not alone prove every following operation succeeded. If the status does not change as expected under the provider’s process, contact support with the payment reference. When responsibility changes, hand over the records and test access before withdrawing old permissions.
